Travel arrangements and requirements
Visa Information
We kindly remind all delegates to ensure that travel arrangements and requirements are fully completed well in advance of the conference. Please check with your travel agent or the nearest consulate/embassy in your country of residence for specific visa requirements. We advise delegates who require a visa to start their application process three months prior to the event as visa process may be lengthy (up to two months).
Invitation letters for visa purposes will be issued to those who have registered and paid. Please contact us via registration@eage.org in case you need an invitation letter. In order to obtain an invitation letter, the invitation letter request form must be completed during registration.
Kindly note that EAGE does not guarantee that you will be granted a visa, nor does it commit EAGE to pay any expenses you may incur. It is the sole responsibility of the attendee to obtain the necessary paperwork for entry to Malaysia.
Ways to apply for a visa to China:
There are two (2) primary ways to complete and submit a visa application to the People’s Republic of China (PRC), which includes Qingdao:
- Online Application via COVA (The Essential First Step):
Complete the Online Form: The initial step is to visit the China Online Visa Application (COVA) system. You must select the appropriate visa type (e.g., L for Tourism, M for Business) and complete the form online. - In-Person Submission at a Chinese Visa Application Service Center (CVASC):
Submit Your Documents: Once the online form is complete, you will submit your physical application (passport, printed form, photo, and supporting documents) to the Chinese Visa Application Service Center (CVASC), which handles most applications on behalf of the Embassy/Consulate.

Malaysia Digital
Arrival Card (MDAC)
All foreign travellers must complete the Malaysia Digital Arrival Card (MDAC) within three (3) days prior to their scheduled arrival in Malaysia.
Effective 1 January 2024, completion of MDAC will be mandatory, except for the following list:
- Citizens of Singapore
- Diplomatic and Official Passports holders
- Malaysian Permanent Residents (PR) and Long-Term Pass holders
- General Certificate of Identity (GCI) Brunei Darussalam holders
- Brunei-Malaysia Frequent Traveller Facility holders
- Thailand Border Pass holders
- Indonesia Cross-Border Travel Document (PLB) holders
Here are the required steps:
- Step 1: Fill up the Malaysia Digital Arrival Card (MDAC) here
- Step 2: Submit the MDAC within three (3) days prior to your arrival to Malaysia. Proof of submission will be sent to your registered email.
- Step 3: Upon arrival in Malaysia, show your MDAC registration and verify your passport at the Immigration counters.
